Privacy Notice
How we look after the personal information you share with us when you enquire about or book your wedding flowers.

Who we are
Happily Ever After Blooms is an artificial wedding flower hire business based in Cardigan, Ceredigion, West Wales. Happily Ever After Blooms is a trading name of Business With Intelligence Ltd, a company registered in the UK (company number 16669800), registered office: Cardigan SA43 1LZ.
Business With Intelligence Ltd is the “controller” of your personal information, which means we decide how and why it is used. We're a small business run by Lily Walford, so if you have any questions about this notice or your information, you can contact Lily directly at [email protected].
What information we collect
We only ask for what we need to reply to your enquiry and to arrange your flower hire. This may include:
- your name and your partner's name;
- your email address and phone number;
- your wedding date;
- venue details, including the venue name, town and postcode (so we can check delivery);
- your flower choices, including any extras or colour requests, and anything else you choose to tell us about your wedding;
- how you'd prefer to pay, and how you heard about us;
- your postal address, which we need for the hire agreement;
- payment records, such as amounts paid, dates, and refunds of damage deposits.
We don't ask for sensitive information (such as health or religious information). Please don't include it in messages to us unless it's genuinely needed for your booking.
Card payments are taken by our payment provider, Stripe. We don't see or store your full card details.
How we collect it
- Our booking enquiry form. Our “Check your wedding date” form is a Google Form hosted by Google. Your answers are stored in our Google account.
- Email. When you email us or reply to our emails.
- Facebook messages. When you message us on Facebook or comment on our posts. Facebook is run by Meta, which handles your use of Facebook under its own privacy policy.
- Your hire agreement and payments. When you sign your hire agreement and make payments.
Why we use it, and our lawful bases
UK data protection law (the UK GDPR and the Data Protection Act 2018) requires us to have a lawful basis for using your information. We rely on:
- Steps before a contract, and the contract itself: to check availability, send you a quote and your hire agreement, take your booking, arrange delivery and collection, take payments and return your damage deposit.
- Legitimate interests: to reply to your enquiries and messages, keep track of conversations about your wedding, and understand how couples find us. Our legitimate interest is running and improving our small business, and we only use your information in ways you'd reasonably expect.
- Legal obligation: to keep accounting and tax records of bookings and payments, as required by law.
Marketing
We will only use your details to manage your enquiry and booking. We will not send you marketing messages unless you've told us you'd like to receive them, and you can change your mind at any time by emailing us.
We never sell your personal information, and we don't share it with anyone for their own marketing.
Who we share it with
We use a small number of trusted service providers (“processors”) who handle information on our behalf and only under our instructions:
- Google: Google Forms (our enquiry form), Google Sheets (our bookings tracker) and Gmail (our email).
- Stripe: to take payments securely and process refunds.
- Cloudflare: to host this website and to forward emails sent to our @happilyeverafterblooms.co.uk address to our inbox.
Some of these providers may process information outside the UK. Where this happens, they use safeguards recognised under UK data protection law, such as UK adequacy regulations or approved contract clauses.
We may also share information if we're required to by law, for example with HMRC or our accountant for tax purposes, or to protect our legal rights.
How long we keep it
- Enquiries that don't go on to book: deleted within 12 months of your last contact with us.
- Bookings and payment records (including your hire agreement): kept for 6 years for tax and accounting purposes, then securely deleted.
Your rights
You have rights over your personal information, including the right to:
- access the information we hold about you and get a copy;
- ask us to correct information that is wrong or incomplete;
- ask us to erase your information;
- ask us to restrict how we use it;
- object to us using it where we rely on legitimate interests;
- ask for your information to be transferred to you or another organisation (data portability);
- withdraw consent at any time where we rely on your consent (for example, for marketing).
Some rights have limits. For example, we may need to keep booking and payment records to meet our legal obligations. To use any of your rights, email [email protected]. There's no charge, and we'll reply within one month.
Complaints
If you're unhappy with how we've handled your information, please contact us first and we'll do our best to put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator: ico.org.uk.
Cookies and this website
This is a simple website. We don't use analytics, advertising or tracking cookies, and the site itself doesn't set any cookies.
To display our typefaces, the site loads fonts from Google Fonts (fonts.googleapis.com and fonts.gstatic.com). When a page loads, your browser connects to Google's servers, which means Google receives technical information such as your IP address and browser details. Google says it does not set cookies when serving Google Fonts. Our website host, Cloudflare, also processes technical information such as IP addresses to deliver the site and protect it from attacks, and may occasionally use strictly necessary security cookies for that purpose.
When you click through to our enquiry form, you'll be taken to Google Forms, where Google's own privacy policy and cookies apply.
